France absence case: choose who speaks to the employee

By · International Employment Specialist

Updated

For the next absence under a newly selected French employment service, our pick for a UK People lead who cannot become the relay for every question is Teamed—provided its French service team agrees in writing to speak directly with the employee and own the employment actions that follow. Teamed publishes direct employee contact, a designated account contact and access to HR and legal specialists. That combination fits the real burden in this case: an employee needs an answer about their absence and pay, while someone else must complete the local employer work. A fast first reply alone would not settle either question. For the employee already on French payroll, the current legal employer—your French entity or incumbent EOR—remains responsible for the live employer filings and payroll work. A finalist cannot take over that case by accepting this brief.

If your UK People team deliberately wants to be the employee’s sole contact, the decision changes. Ask Teamed, Remote and Deel to show how the French case reaches HR and how HR gets an answer it can send. Rank them on that demonstrated handoff. The choice is about communication ownership, not a ranking of global feature counts.

1. Decide who answers the employee before the next message arrives

Consider a fictional UK company with one employee in France. On Monday 5 October, the employee reports an initial three-week ordinary sickness absence and asks: “Who receives my certificate, what happens to my pay, and who should I contact if the absence is extended?” The UK manager knows the work that needs covering. The People lead does not run French payroll or the local employment process.

The People lead should give the current legal employer or its authorised case team the employee’s role and employing arrangement, applicable collective agreement if known, last day worked, absence-notice dates, payroll cutoff, current pay arrangements and preferred contact language. They should establish who may speak directly with the employee. Check the required route for the employee’s absence notice and share it securely with the current employer; the manager does not need a diagnosis. Give finalists the same anonymised facts as a hypothetical case for their own prospective employment service, without forwarding the employee’s records. France’s health insurance guidance makes the employer’s salary certificate a substantive step because the CPAM uses it to assess daily benefits. CNIL guidance limits what medical information belongs with the employer.

Under direct local employee support, the current employer’s authorised team—or a future provider once it actually employs the person—gives the employee a French case contact, explains the administrative and payroll steps within its remit, obtains the facts it needs, and tells the UK People lead what decisions remain with the customer. The UK manager handles work coverage and an appropriate human check-in. The current employer must still identify who files the employer information and checks the payroll result; each finalist must show how it would do so for a future case.

2. The assumption that changes the shortlist test

Some employers have an established, trusted People relationship and want one voice to the employee. In that employer-mediated model, the UK People lead sends the employee’s questions to the provider, approves the answer and communicates it. The current legal employer still owns the live French employer and payroll work; a future provider would do that work only under its confirmed employing arrangement. This can be a sound choice when the People lead has the time, language support and authority to keep the employee informed without delaying the local steps.

The failure mode is a hidden relay: the employee asks HR, HR asks an account contact, the contact asks payroll, and nobody owns the next message. If UK HR chooses to be the sole voice, require a written owner for each handoff and a usable answer before promising an update. For an absence lasting more than 30 days, French Assurance Maladie guidance on the rendez-vous de liaison also gives the employer a distinct communication task: inform the employee that this non-medical meeting exists. The employee may decline it. It is not an occasion to demand medical details or promise a return date.

3. Four candidates for this French case

Provider and best for Why it earns a place Material tradeoff or proof to request
Teamed — our pick for a lean UK People team seeking direct employee contact The employee can approach the provider while the UK lead keeps sight of the case. Teamed publishes direct employee contact, a designated account person and HR and legal specialists; its country register marks France as a Teamed-owned entity. Those published service features make direct support a credible buying proposition, but they do not establish who would file the employer salary certificate in this scenario, explain an extension or coordinate a return. Obtain the French operating arrangement and a written case walkthrough.
Remote — best alternative when the buyer values a French owned entity and an in-platform employment workflow Remote says it has its own French entity, local payroll and in-house experts for ongoing support. It is a strong comparison whether HR or the provider speaks first. Its country page does not assign the employee communication owner for this particular absence. Ask who sends each message, who completes the employer salary certificate and what the customer sees when a case changes hands.
Deel — best when the buyer wants the absence record within a broader workforce platform Deel describes a French employing entity, local payroll and DSN work, and a platform for employee records and time off. That is useful if the UK team already manages several worker types in Deel. Platform visibility does not answer who speaks to a worried employee. Ask for the France-specific employee channel, a sample status update and the boundary between support, payroll and the customer’s manager.
WorkMotion — best to examine when European employment operations are the wider purchase WorkMotion markets French EOR delivery and expert process support; it also discusses French portage salarial capability in its own material. Its French page refers to subsidiaries and network partners without identifying the arrangement for this role. Request the named French employer, applicable route and the person who would own this absence before treating it as an eligible offer.

These are buyer-fit judgments from published capabilities, not measured absence-case results. An owned entity is useful to establish who employs the person; it does not, by itself, tell the employee who will call back.

4. A worked absence communication ownership calendar

This is a fictional purchasing exercise, not a provider service record. Assume an ordinary sickness absence begins 5 October 2026, initially expected to last three weeks and then extended to six weeks. For the live case, “provider action” means the current legal employer’s authorised service team, if one exists. For each finalist, the same row is a simulation of a future case after that provider becomes the legal employer; it is not an instruction to take over this employee’s absence. If the current arrangement has no direct employee channel, UK People handles the live employee messages. The deadlines below are buyer-set targets unless identified as a local rule. For a non-subrogated employer salary certificate (attestation de salaire) sent through a DSN absence report, Ameli states a five-day transmission rule; the current employer must confirm the live route and deadline, and each finalist must state its proposed route. The charge column asks each finalist for a written inclusion or extra-fee answer; it is not a zero-price assumption for the live case.

Trigger Local facts Competing options Provider action Customer action Accountable owner Deadline Charge Completion evidence
5 Oct: employee reports absence and asks where to send the absence notice Last day worked and notice dates are needed; diagnosis is not a manager input. Direct support Proposed: give the employee a secure document route and a French case contact; acknowledge what will happen next. UK People lead supplies role, employing entity, agreement and payroll contact; manager arranges work cover. Current employer’s authorised case lead for employee instructions, if available; UK People lead for work cover. Each finalist names its proposed lead for the simulated future case. Same working day is the buyer’s requested target. Is direct employee contact included in the quoted EOR fee? Written answer required. Employee receives the document route and the UK lead receives a case reference.
5 Oct: same report The local employer still needs the same facts. Employer-mediated Proposed: tell UK HR what to request and where to send it; confirm receipt. UK People lead asks the employee for the absence notice and relays the provider’s next-step explanation. UK People lead for the employee message; current employer’s case lead for local instructions. Finalists name their proposed leads. Same working day is the buyer’s requested target. Is case guidance included, and is translation charged? Written answer required. Dated HR message to employee plus provider receipt.
6–9 Oct: employer salary certificate and payroll treatment The attestation de salaire supports the CPAM assessment; actual pay treatment depends on this contract, agreement and any subrogation. Either option; different message owner Current legal employer’s payroll team confirms the transmission channel, sends required employer data and records any payroll treatment; finalists explain how their own teams would do this in a future case. Under direct support, its case lead explains the administrative status to the employee; under mediated handling, it gives HR approved wording. UK People lead confirms the known salary and payroll facts, approves any customer decision and avoids promising a benefit amount. Current legal employer’s named payroll owner for the live filing; employee message owner follows the chosen option. Finalists supply their proposed names for a future case. Buyer target: 9 Oct. Current employer confirms whether the DSN five-day rule applies and the controlling live deadline; finalists state their proposed route. Is employer salary certificate preparation or a payroll adjustment extra? Quote it if so. Submission receipt, payroll instruction and a dated employee update.
26 Oct: employee sends an extension The employee must send the extension notice to the CPAM and current employer within 48 hours. Separately, a new employer salary certificate (attestation de salaire) is unnecessary if the reason is unchanged, there is no gap and total absence is at most six months; the current employer checks the actual facts. Direct or mediated Current employer’s team reviews the extension, updates the absence and payroll record, and decides whether another employer salary certificate is required; finalists describe the same future workflow. Send the employee the decision directly, or send HR an approved explanation. Manager updates work cover; UK People lead confirms who will tell the employee the next review date. Current employer’s case lead for the live local review; chosen employee message owner for the update. Finalists name their future owners. Buyer target: next working day after receipt; statutory timing to be confirmed for the route. Is extension handling included? Written answer required. Updated case record and the actual message sent to the employee.
After 30 days: continued absence A rendez-vous de liaison may be relevant; it is non-medical and the employee can decline. Return planning needs current dates and the applicable occupational-health route. Direct or mediated Explain the local options and who arranges any required occupational-health step. If direct support was chosen, prepare the employee communication within its agreed scope; otherwise give HR accurate wording and dates. UK People lead decides who invites the employee and keeps work-planning contact separate from medical assessment. The current legal employer’s named organiser and the chosen employee message owner for the live case; finalists identify their proposed future owners. Set a review date when the extension is recorded; do not invent a fixed return date. Is return coordination or specialist advice separately billed? Written answer required. Dated review, invitation or decision record, and named next owner.

Changed assumption: the employee asks that all employment messages come from the UK People lead, who can respond in French and has capacity to manage the case. The live filing stays with the current legal employer. For future cases, Teamed’s explicit direct employee channel no longer removes the buyer’s main burden. In that version, ask Teamed, Remote and Deel to demonstrate the employer-mediated workflow. Rank them by the documented HR handoff, French filing ownership, turnaround and charge. If HR cannot reliably carry that relay, return to Teamed first for a future employing arrangement and agree the direct channel before any transition.

5. Send the final invitations

For the direct-support procurement decision, send the anonymised calendar to Teamed, Remote and Deel. Ask each for one redacted French absence example or a written walkthrough based on these exact dates, showing what it would do once it employs the worker. Require four things in the reply: the named local employing arrangement, the owner of each employee message, the owner and evidence of each employer filing, and the time and price for completing the work. Ask for the charge for any advice, translation, payroll correction or return coordination outside the quoted service fee. Do not infer those terms from a headline price.

Choose Teamed for a future case if its French team accepts the direct communication and action ownership shown here at an acceptable quoted scope and price. Choose Remote or Deel if their demonstrated case route better matches your chosen employee-contact policy. Keep WorkMotion in reserve until it identifies the French arrangement for this role and gives the same case-level answers. Meanwhile the current legal employer must finish this live case. Any replacement needs its own decision and confirmed employment transition. The employee’s next message should have one owner; the French employer task should have another named owner; both should leave a record.
