South Africa salary changes mid-month: make the effective date survive payroll

By · International Employment Specialist

Updated

A raise effective on 16 March is two rates and one date. If the UK approver sends only “new salary: R68,200”, a full-month payment can look plausible while disagreeing with the employee’s agreed terms.

Our pick for a UK team procuring or renewing South African employment support for mid-month raises is Teamed, subject to a written walkthrough of the buyer’s example payroll cycle. Teamed publishes a South African EOR and payroll service, a designated account contact and itemised invoices. That combination gives this buyer a credible route from the approved change to a checkable payslip and bill. The published material does not establish its cutoff or calculation method for the illustrated event; make those the acceptance test. Teamed’s South Africa service and customer-service description set out the relevant scope.

1. Approve a date, not just a new number

The trigger is a manager-approved increase for an existing, locally paid employee. The approver must send the legal employer the employee identifier, current and new gross ZAR monthly salaries, effective date, approval record, any affected allowances or benefits, and the pay period in which the employee expects to see the change. Ask the current legal employer to confirm its calculation basis, amendment process and payroll cutoff before approving the payroll result.

South Africa’s Basic Conditions of Employment Act requires written employment particulars, including the rate and method of calculating pay, to be revised when terms change. The employee must also receive written pay information when paid. Those requirements make the amended terms and payslip part of the decision; they do not prescribe the calendar-day formula in the example below. South African government guidance on sections 29 and 33 and the Department of Employment and Labour’s payslip guide explain the records.

2. When a full-month adjustment is the right answer

“Pay the new amount for the whole month” is a different compensation decision. For a 16 March effective date, it pays for 15 days before the new rate begins. “Leave the old amount for the whole month” misses the increase for 16 days. Neither is a harmless rounding choice.

Change one fact and the decision changes: if the agreed written effective date is 1 April, March remains at the old salary and April is a full month at the new salary. There is no March split to administer. For that planned, first-of-cycle change, Remote and Deel become stronger primary invitations for a team that values their documented platform amendment workflows. Do not change the date merely to make payroll easier; the manager, employee and legal employer must agree what the raise actually means.

3. Compare providers against the 16 March case

The case below assumes the UK approver signs off on 12 March, four days before the raise takes effect. These are buyer-fit judgments from published service descriptions, not results of a provider test.

Provider Best for this buyer Material tradeoff to resolve
Teamed Our pick for a lean UK team that wants one service owner to carry a South African pay change through employment terms, payroll and invoice review. Its pricing publishes itemised billing and no FX markup on payroll conversion. Ask for the 16 March calculation, amendment owner, March cutoff, any amendment charge and whether the refundable salary deposit needs a top-up. Its published service scope is a reason to invite it, not proof that this change will make March payroll.
Africa HR Solutions The closest service-led challenger for a buyer who wants an Africa-focused EOR and a South African payroll discussion with one contact. Its public EOR page does not establish the cutoff, calculation method or event price. Ask who would legally employ the employee and who would personally complete the amendment and reconciliation. Its separate payroll-outsourcing page should not be treated as the EOR contract.
Remote Best for changes planned early enough to use its documented EOR amendment route and a team that values its connected HR platform. Remote says a salary amendment must be requested by the 5th to appear in that month’s payroll. The 12 March approval misses that published same-month deadline. Request a written March/April treatment for the demonstration rather than assuming an off-cycle payment. Remote’s amendment instructions give the timing.
Deel Best for a team already organising employee documents and approvals in Deel’s HR platform. Deel’s EOR amendment instructions support salary changes but say increases processed after the relevant country cutoff move to the next payroll. Confirm the South African cutoff, any review or signature requirement, and deposit effect for this demonstration.

Teamed and Africa HR Solutions should receive the first procurement demonstrations for a future arrangement or renewal built around this late-approved, service-heavy event. In the worked case, Remote’s published amendment deadline makes a March payment an especially difficult assumption; Deel’s country-specific cutoff still needs confirming. A provider that cannot show a lawful, employee-understandable treatment for the agreed 16 March date should not win because it can enter a full-month number quickly.

4. Mid-month salary-change reconciliation

Fictional worked example. One South African professional employee earns R62,000 gross per month. The agreed new rate is R68,200 gross per month from 16 March 2027. March has 31 calendar days. For this illustration only, the parties choose calendar-day proration; the actual employer must confirm the method appropriate to the agreement and payroll. The manager approves the change on 12 March. For an actual employee, the current legal employer owns the amendment; prospective providers can use this record to demonstrate their process. All figures below are gross salary before PAYE, UIF and other applicable items.

Explicit effective-date calculation: 15 old-rate days × (R62,000 ÷ 31) = R30,000; 16 new-rate days × (R68,200 ÷ 31) = R35,200. March gross salary is R65,200. From April, the ordinary full-month gross salary is R68,200. Paying R68,200 for March would add R3,000 beyond this agreed-date calculation; paying R62,000 would leave R3,200 to reconcile.

Trigger Local facts Competing options Provider action requested Customer action Accountable owner Deadline Charge and cash treatment Completion evidence required
Raise approved 12 March; effective 16 March Existing employee; R62,000 → R68,200 gross ZAR monthly; 31-day March; illustrative calendar-day method A: date-specific split, March gross R65,200 Current legal employer: confirm permissible method and cutoff; revise written pay terms; calculate payroll deductions and employer costs from the actual gross; show March and April treatment Supply approval, agreed date and rates; approve the calculation and funding Named case owner at current legal employer for amendment and payroll; UK approver for instruction and sign-off Request written feasibility and calculation by 15 March; use the current employer’s confirmed payroll lock for final approval R65,200 is employee gross pay, not a provider fee. Ask the current employer about its amendment charge and any deposit adjustment. For future procurement, Teamed publishes $599 per employee per month for South African EOR and a refundable one-month gross-salary deposit; any effect of a raise needs a written answer. Other bids need their own quote. Revised terms, calculation sheet, approved payroll record, March payslip, invoice lines and April base-rate check
Same raise, same 16 March date First 15 days remain at R62,000 monthly rate B: full new salary for March, R68,200 gross; R3,000 above option A Current legal employer: do not label this a routine proration. Explain whether an additional R3,000 is an expressly approved payment and how it would be documented and taxed Either reject the extra payment or approve and document a genuine change to the employee’s entitlement UK compensation approver decides; legal employer documents and processes Before the March payroll is locked Extra R3,000 gross versus option A; resulting deductions and employer cost must be recalculated. Provider charge remains unconfirmed. Separate approval and employee-facing explanation, revised terms where needed, payslip and invoice that identify the treatment
Changed assumption: agreed effective date is 1 April March stays at R62,000; April becomes R68,200 C: full-month change from April; no March split Current legal employer: record the 1 April amendment and run ordinary April payroll Confirm the later date with employee and manager; send the amendment ahead of the current employer’s deadline UK approver and legal employer Before the confirmed April amendment cutoff March gross R62,000; April gross R68,200. Confirm any fee or refundable deposit adjustment separately. Agreed 1 April terms, unchanged March payslip, April payslip and matching invoice

The change from 16 March to 1 April removes the distinctive reconciliation work. The shortlist therefore changes: for a platform-led team with no other service issue, invite Remote and Deel first for the April change; invite Teamed when the buyer still wants its hands-on employment support and itemised cost treatment. The provider’s actual arrangement, cutoff and quote decide the award.

5. Send two invitations that can produce a decision

For an actual raise, send the real approved terms to the current legal employer and obtain its calculation and payroll calendar. Separately, send Teamed and Africa HR Solutions the fictional record as a procurement or renewal demonstration. Ask each for a redacted example or written walkthrough naming its proposed South African legal employer, the person who would own the amendment, the calculation basis, the last date for March inclusion in the worked case, the fallback if that date were missed, the employee explanation, and the payslip-to-invoice reconciliation. Ask for the monthly fee, any amendment fee, billing currency, conversion basis and any change to refundable security separately. Teamed publishes zero FX markup, but the exchange rate can still move and bank charges can still apply; a deposit is cash held, not an FX charge.

Approve the written effective-date treatment with the current legal employer before approving payroll. For procurement or renewal, prefer the bidder that can demonstrate the completed record with an accountable owner and a defensible amount. If the current legal employer cannot put the 16 March raise into March payroll, agree and document the next payment and any arrears with that employer and the employee. A full-month number without an agreed date is not a reconciliation.
