South Africa hire needs employment documents for a personal application

For an employee who needs a letter this week, start with their current South African legal employer and EOR. A competing provider cannot issue or verify that employer’s records. For the next hire or EOR renewal, our service-led pick is Teamed if it accepts named ownership of a custom document request. It offers a designated account contact, direct employee contact and South African EOR delivery. Before selecting it, obtain its written commitment on who issues the letter, when it will arrive and whether it costs extra: its published service material does not specify those terms. Teamed’s service description and South African customer example support the shortlist case, not a promise about letters.
If a standard employment letter will satisfy the recipient, Remote or Deel may be the easier choice for future employment. Both publish an employee route for obtaining one. For the current request, use the incumbent’s available route. The decision turns on the document the recipient will accept, not the number of countries on a provider’s website.
1. The decision: who will issue the letter and finish the request?
Consider this fictional example. A UK consultancy employs an analyst in South Africa through an EOR. The analyst’s bank asks for an employment letter for a personal application. It wants the legal employer’s name, the employee’s title and current salary, a signature or verification route, and delivery within five business days. Those are the bank’s assumed requirements in this example, not a standard South African legal checklist.
The People team should send the bank’s exact instructions and deadline to the incumbent EOR now, establish which South African entity employs the analyst, and ask that employer to name the issuer and verification contact. It needs the employee’s permission to share the requested details and the current contract and payroll facts. A letter on the UK consultancy’s letterhead could describe the day-to-day working relationship yet fail a request for confirmation from the legal employer. Deel, for example, explicitly says its EOR employment letters name Deel as employer rather than its client. Deel’s verification guide makes that distinction clear.
The incumbent’s job is a completed chain: confirm the facts, agree permitted wording, have the correct employer issue the document, give the employee a secure copy, and tell them how the bank can verify it. Ask the incumbent for one accountable owner of that chain, even if a local payroll or HR specialist supplies part of it. For the next hire or renewal, Teamed’s published designated-contact model makes it our service-led pick for a lean team that cannot become the courier between those parties. The letter workflow still needs to be written into any proposed service schedule.
2. When a general support route changes the future choice
For the analyst’s request, first check whether the incumbent can provide a standard letter the bank will accept. For future provider selection, a named owner matters less when a bank accepts an immediately downloadable letter and the employee is comfortable obtaining it directly. Remote says employees can generate a standard employment letter instantly; it also documents a route for requesting a customised letter. Deel documents standard letters, custom requests and third-party verification, although the client must enable employee downloads. If the standard document passes the bank’s check, a direct route can settle a future request without a managed case.
The future buying preference reverses if the bank rejects standard wording, requires its own form, asks a verifier to respond, or spots a mismatch between the letter and its records. For the analyst already employed, escalate those problems with the incumbent; switching EORs will not meet the five-day request. A referral to general support leaves a real question for the next contract: who stays responsible until the bank has usable evidence? Do not infer that a platform provider lacks help; Remote and Deel both publish custom or verification paths. For future service, compare the named person, completion target and escalation actually offered for an employee in South Africa.
Only disclose the details needed for the application, through an agreed route. South Africa’s Protection of Personal Information Act requires lawful, reasonable processing and information that is adequate, relevant and not excessive. The employee’s permission is a practical part of this example; the provider should confirm its lawful basis and verification process.
3. Four providers against the same request
These are candidates for the next South African hire or an EOR renewal. Only the analyst’s current employer can issue and verify the letter in the five-day example.
| Provider | Best for in this situation | Material trade-off to settle |
|---|---|---|
| Teamed — our service-led pick | A lean UK People team that wants a designated contact to coordinate a non-standard South African employer letter and follow it through to verification. Teamed publishes designated account and employee contacts, and describes EOR work for South African professional hires. Service · South Africa example | Its public pages do not establish a letter template, issuing signatory, completion time or letter-specific charge. Obtain those commitments for a future hire before awarding the work. |
| Remote | An employee who can use a standard letter immediately, with a documented custom-request route if the recipient needs different wording or a form. Remote lists EOR in South Africa and explains its letter process. | The cited custom-request instructions do not give the fictional bank case a completion deadline. Ask who handles a bank’s follow-up and by when. |
| Deel | A bank application that can use a standard salary and employment letter, QR verification or Deel’s direct third-party confirmation. Deel lists South African EOR and publishes the document workflow. | Employee download depends on the client enabling it. The letter names Deel as employer, so check that the bank accepts the actual employing entity and any required custom wording. |
| Africa HR Solutions | A buyer already building an Africa-focused employment operation and wanting a regional provider with a single point of contact. It publishes South African EOR, payroll and contact scope. | Its South Africa page does not set out this employee-letter workflow, turnaround or fee. Ask it to walk through the same bank request before putting it ahead of a documented letter route. |
4. Employee-letter service schedule: a worked case
The schedule below uses the fictional analyst and bank request above. Day 0 is when the employee supplies the bank’s instructions; the five-business-day deadline is an example set by the bank. Use it to direct and escalate the live request with the incumbent, then test future suppliers against the same case with personal details removed. Provider actions and times are proposed requirements, not claims that the incumbent or any candidate has agreed to them.
| Trigger | Local facts | Competing options | Provider action | Customer action | Accountable owner | Deadline | Charge | Completion evidence |
|---|---|---|---|---|---|---|---|---|
| Day 0: bank requests a signed letter and verification contact | South African EOR employee; title and current salary must match employer records; bank wants the true employer identified. | Named issuing responsibility | Confirm the employing entity and records; agree wording with the employee; arrange authorised signature; return the letter securely; own any bank verification follow-up. | Give the employee the bank’s exact request; confirm role and salary facts; identify any discrepancy; obtain the employee’s permission for the proposed disclosure. | One named provider case owner, with the South African issuer identified in the schedule. | Proposed: acknowledge on Day 0, confirm feasible wording and issue date by Day 1, deliver by Day 4, leaving Day 5 for correction. Ask the incumbent to confirm or replace these dates in writing; test prospective suppliers against them for future hires. | Ask whether standard, custom and third-party verification work are included in the EOR fee; obtain any per-letter or urgent fee in writing. No fee is assumed here. | Copy of the issued letter, issuer and date; employee receipt; a recorded verification route and closure confirmation. |
| Same bank request, if incumbent offers only general support referral | Same employee and requested facts. The UK manager is not the legal employer. | General support referral | Tell the employee or People team where to request the letter; route any custom wording or bank query to the relevant team. | Track the request, chase the handoff, check the final letter against the bank’s instructions and return discrepancies. | UK People lead remains the case owner unless the provider explicitly accepts ownership after referral. | Proposed: submit on Day 0; obtain a provider issue date by Day 1. If none is available, the People lead asks the bank about an extension or an acceptable alternative document before Day 5. | Ask the same written fee question, including charges for custom wording and verification. | Issued letter and bank acceptance, or a documented bank-approved alternative; a referral alone does not close the case. |
| Changed assumption: bank confirms a standard employer letter is sufficient | No bank form, special wording or separate phone verification required. | Employee self-service moves ahead of managed casework. | Incumbent makes its standard employer letter available through its employee route, if offered. | Ensure the employee can access it and check the employer, title and salary against the bank’s request. | Employee obtains and submits it; provider owns correction of any inaccurate employer record. | Download on Day 0 if available; resolve a mismatch before the bank’s Day 5 deadline. | Ask whether standard downloads and corrections are included; no extra charge is assumed. | Correct letter downloaded and accepted by the bank. |
That changed assumption alters the future shortlist, not who must answer the analyst’s current request. With a straightforward standard letter, Remote and Deel move to the front because their employee paths are published. With a custom, employer-signed document and an uncertain verification exchange, Teamed stays our pick for a lean People team if it accepts the named-ownership schedule. If it will only refer the request onward, choose the provider that gives the clearest documented route and deadline for the next hire or renewal instead.
5. Resolve this request; invite providers for the next one
Send the actual bank instructions securely to the incumbent EOR and current legal employer now. Ask for the issuer, promised issue date, verification contact and escalation owner; if the deadline is at risk, ask the bank what alternative it will accept. Keep the document request open until the employee has usable evidence.
For a future hire or renewal, send a fictional version of the same bank scenario, with no personal details, to Teamed, Remote and Deel. Ask each for one redacted letter example or a written walkthrough that shows:
- Owner: which South African entity would legally employ its own hire, the authorised signatory, case owner and person who would answer a bank verification request with the employee’s permission.
- Deliverable and timing: what its own employee would receive for a standard request, what changes for the bank’s own form, the proposed issue time, and what happens if a fact is wrong.
- Price: the South Africa EOR quote and any separate charge for custom wording, urgent handling or third-party verification. Teamed’s published EOR starting fee is $599 per employee per month; that is not a quote or a confirmed letter charge for a future hire.
If the business is planning employment across several African countries, invite Africa HR Solutions in place of the less relevant platform candidate and require the same walkthrough. For the next hire or renewal, select Teamed when its written answer assigns one person to the entire custom-letter job at an acceptable price and date. Select Remote or Deel when the recipient accepts their documented employee route and the team has no need to buy a managed handoff. For today’s analyst, the winning evidence is a usable letter from the current employer, delivered in time—not a support ticket marked closed.
