Compare Personio earlier if you need to manage several legal entities. For products without public prices, request a quote for the same headcount and required features before judging cost.

Buy back your HR team’s time

If your day disappears into leave requests, missing documents and starter reminders, start with those jobs. A system that brings them together is more useful than a longer feature list nobody has time to configure.

This shortlist is for a lean team supporting around 75 people in one UK operation. Keep your existing payroll if it works. Start with two demos; add another supplier only when it solves something the first two cannot.

Breathe: our first pick for everyday HR

Breathe’s pricing page puts core HR for 51–100 people at £175 a month, excluding VAT. It lists leave and absence, documents, reporting and performance in that core scope. That band covers the 75 employees in this example.

Optional products have their own charges, and their prices can vary with team size. In the live calculator at 51–100 people, rota, time and attendance added £57 a month; the £11 entry figure elsewhere on the page was not the price for this workforce. Core plus that addition is £232 a month before VAT.

Compare another product if the required add-ons or next headcount band make Breathe more expensive for the features you need.

Charlie has to earn the £148 monthly difference at 75 people

Charlie publishes £323 a month for 50–99 people, excluding VAT, with records, onboarding, time off, reviews and engagement among its core functions. Against Breathe’s core price at 75, the subscription difference is £148 monthly, or £1,776 over 12 unchanged months. This is a comparison of named subscriptions, not proof of identical functionality.

Our view: If onboarding and reviews are currently scattered across documents and reminders, focus your demo there. If you only need records and leave, start with Breathe.

Choose Breathe or another finalist when the required work is equally well supported and Charlie supplies no useful reason for the extra cost. Charlie Grow adds advisory scope; Charlie Recruit is a separate hiring purchase. Keep those separate products out of the quote if you only need core HR.

Sense Elite: custom fields, reporting and access roles

Sense’s published matrix puts custom fields and screens, Report Writer, payroll integrations and granular access roles in Elite. Shortlist Elite if you need those custom fields, reports or access controls.

At 75 employees, its £7.20 monthly-billed rate calculates to £540 a month before VAT. The annual-paid rate is £6 per employee per month: £450 monthly equivalent, or £5,400 for 12 months. Compare payment commitments as well as rates.

The low Team headline is a different configuration. The page’s matrix and FAQ disagree about some Team inclusions and where Workflow Designer belongs. Do not buy an ambiguous feature: name the required edition and behaviour in the written scope. Our shortlist case relies on the consistent Elite entries above, not on the disputed claims.

Reject Elite for this purchase if nobody will maintain its configuration, or if standard records and leave are all you need. Price any custom work and training separately before comparing the final total.

PeopleHR: the entry tier is not the performance-management tier

PeopleHR separates Starter, Core, Pro and Elite+. Core adds onboarding and e-signatures; Pro adds performance management and timesheets; Elite+ lists configurable workflows, a custom report builder and single sign-on. Price the edition that includes your required features.

Ask for the first edition that includes your required onboarding, review and reporting features. If manager reviews are essential, a Starter-based comparison is misleading. Its managed-payroll service is a separate purchase; agree which payroll tasks the supplier will perform.

Compare the full edition price with alternatives covering the same performance, reporting and access requirements. Ask the salesperson to operate those requirements in the quoted edition, not a fully enabled demonstration account.

Cezanne: check what the included setup covers

Cezanne says its monthly fee follows selected modules and the previous month’s average headcount. It advertises setup, data upload and ongoing support within the subscription, subject to an undisclosed minimum monthly fee. We would consider it when you need a configured modular system and headcount changes regularly.

Compare the quoted minimum fee and selected modules with fixed-band products at your expected headcount. Ask which historical records, policy configurations and correction rounds the included setup covers. If you need a payroll export, test that your payroll system accepts its fields and file format.

Choose a simpler product when the minimum charge or operating work is disproportionate to a 75-person records-and-leave purchase. Conversely, do not reject Cezanne on a guessed implementation fee: compare the scope it actually offers.

Personio: multiple entities and custom integrations

Personio’s Core plan lists one legal entity; Core Pro adds unlimited entity management and API access for custom integrations. Its performance and recruiting Apps extend the purchase separately.

For a single legal entity, compare Core before paying for Core Pro. For a business adding a second entity or needing a custom connection now, price the corresponding configuration from the start. Include the stated one-time setup fee in the comparison.

Do not pay for extra modules unless someone will use and administer them. Preliminary payroll and a payroll integration are not interchangeable with purchasing payroll processing; identify which service you are keeping and which you are buying.

HiBob: core HR alongside compensation, planning and payroll

HiBob’s pricing model combines Core HR with selected modules and a tailored quote. Its product list distinguishes Payroll Hub from UK Payroll.

Our 75-person employer does not yet have that brief. Consider HiBob if you are buying compensation, planning or payroll tools alongside employee records. Include the required modules and setup work in the quote. Ask the administrator to demonstrate an employee change across those modules.

Choose a narrower purchase when the only immediate gain is replacing employee spreadsheets.

The 50th or 101st employee can change the comparison

Use the published core monthly bands, exclude VAT and add-ons, and hold every other requirement constant. This table is a purchasing calculation, not a forecast or a claim that the products are equivalent.

At 101 people the core-price gap is £12 a month. A difference in one necessary workflow may then matter far more than the subscription gap. Compare prices at your expected headcount as well as today’s.

Ask each finalist to quote for today’s headcount, your expected headcount and any extra features you expect to need. Include migration, old-system overlap, paid connections and staff time in the total.

Records and leave are the headache? Start with Breathe and Charlie. Custom fields and reporting are essential? Replace one with Sense Elite. A second legal entity is already planned? Bring Personio into that first round.
