Assign responsibility for payment updates
This guide is for HR and finance teams choosing an expense workflow for employee-paid purchases. It evaluates operational handoffs, not tax treatment, card credit terms or a legal reimbursement deadline.
Before buying, name the employee’s contact for payment updates and the finance or payroll owner who checks settlement and resolves failures.
A failed payment can return to Approved
Expensify’s current reimbursement-failure guidance says the report returns from Paid to Approved and shows a failure message. Once the issue is resolved, a workspace administrator must retry; the payment is not automatically retried.
Our buying test: ask for a supported failure simulation and show the employee and administrator views. Identify the owner, notification and retry evidence. Do not assume a corrected bank connection automatically releases the money.
This is a documented workflow example, inspected on 2 October 2026. It is not evidence that Expensify fails more often than another provider.
“Paid outside the platform” is a record, not a transfer
Pleo distinguishes direct and external reimbursement. Its guidance says the employee should already have been paid outside Pleo before the external option is selected; otherwise the recorded owed balance can be cleared without payment.
Our buying test: trace one fictional payroll-settled claim. Record the payment reference and reconcile it before marking the claim externally reimbursed. Then show how the workflow prevents a second payment through the expense platform.
Pleo also documents a separate transfer-entry export to clear the accounting balance. Confirm the behaviour of the specific accounting integration; a corrected employee view is not automatically a corrected ledger.
Start the clock where the employee starts waiting
Ramp’s payment guidance distinguishes the post-approval payment timeline from an employer’s batch schedule. That distinction matters in any buying comparison: approval delay and a scheduled payment run can sit outside a quoted transfer speed.
Measure the stages separately: submission to approval, approval to payment initiation, then initiation to the documented payment outcome. Keep unresolved claims visible. A quick transfer cannot compensate for a claim nobody releases.
We would ask for the full elapsed-time report as well as the payment-service metric. Do not promise employees the fastest advertised time as though it starts when they upload a receipt.
Four claims, £400 approved, £200 evidenced as paid
This fictional GBP example uses four separate £100 claims. The settlement evidence is an assumption for the exercise, not a claim that a platform status always proves receipt.

The answer is £400 approved, £200 evidenced as paid and £200 outstanding. If the platform still shows EXP-03 as owed, explain the reconciliation difference rather than trusting one total or issuing another payment.
Ask the supplier to reproduce the four positions with test data or a supported simulation. Real bank details and live payment attempts are unnecessary for this buying exercise.
Test the handover, including the colleague who is away
- Manager absent: show the approved delegation or escalation route without granting everyone payment authority.
- Payment failed: identify the person who can resolve it and the person who can retry.
- Payroll paid: match the external reference before clearing the expense balance.
- Accounting export failed: retain the payment evidence while resolving the sync; do not reimburse again to fix a bookkeeping issue.
- Employee asks: show the status explanation they receive without exposing another person’s claim or bank details.
The commercial proposal should name the included payment and accounting routes. If manual reconciliation remains necessary, estimate the workload and assign it. Assign someone to review outstanding claims and failed transfers before each payment run.
Resolve failed and externally paid claims before buying
Compare finalists using the same failed, externally paid and waiting claims. Finance should be able to reconcile each status to the payment evidence.
Hold a proposal that cannot distinguish approval from settlement or cannot explain how externally paid claims avoid duplication. If payroll already pays reimbursements correctly, first assign responsibility for updating the expense records. Replacing the software may leave that task unchanged.
Request a quote for your employee and administrator counts, reimbursement routes and currencies, including payment fees and the required accounting connections. No comparable market-wide price is established in this guide.
Questions buyers ask
Does an approved expense mean the employee has been paid?
No. Approval authorises the next step; payment may still be scheduled, processing or failed. Confirm the payment outcome using the agreed evidence.
Does marking an expense paid externally send money?
In Pleo’s documented external-reimbursement workflow, it records a payment made outside Pleo. The guidance says to pay the employee externally before selecting that option.
What should an expense software demo include?
Ask for completed, failed, externally paid and scheduled claims. Reconcile approved value, evidenced payment and outstanding value, then inspect employee visibility and accounting handoff.
