Buy scheduling software when recruiters spend too much time coordinating calendars. If interviews stall because qualified interviewers have no free slots, fix that capacity problem first. Test panel replacements and booking limits before choosing a tool.

Ten candidates, twenty general slots, four specialist slots

Use this fictional weekly brief: ten candidates each need a general interview and one specialist interview. The general-interviewer pool can support twenty sessions; the qualified specialist pool can support four.

This is not a vendor performance test. It is a purchasing sanity check: faster coordination may help use the four specialist slots, but it cannot turn them into ten.

If too few qualified people are available, change the interviewing plan or train more interviewers. Add suitable interviewer slots before sending more booking invitations.

A load limit can block one route and warn on another

GoodTime’s load-balancing guidance makes a useful distinction. In Request Availability, a reached interviewer limit prevents candidates choosing affected times. In Schedule Now, the coordinator sees a warning and can override the limit.

An override is not inherently wrong. An urgent exception may be legitimate. But buyers should know who can use it and how the team distinguishes an agreed exception from routine overbooking.

Demonstrate both routes. Set the same fictional interviewer at their limit, then try candidate self-scheduling and coordinator scheduling. “We support daily limits” is not a complete answer.

A panel rule needs eligible people, not just a headcount

Cronofy’s recruiting guidance describes selection rules that set how many eligible people from a pool must attend, with combined availability and rotating selection. It also describes a custom-hours option that disregards non-Cronofy busy events while still avoiding Cronofy-created events.

Those are useful controls when deliberately configured. They are also reasons to ask what “available” means in the exact template your recruiters will use.

Our buying test: if a panel requires one technical specialist and one hiring manager, make the supplier show those roles being satisfied. Two available people from the wrong pool should not be treated as a valid panel merely because the attendance count is two.

Inspect the calendars behind the answer

For a custom implementation, Cronofy’s availability API lets the integration specify which calendars contribute to availability. Its documented empty-calendar-list behaviour ignores events in the member’s calendars.

This is an implementation boundary, not a claim that Cronofy’s standard scheduler ignores calendars. Ask the integration owner to identify the calendars and availability rules actually used.

Have the demo include a busy appointment, a tentative event and an out-of-office day. The expected treatment should be agreed in advance and explained by the supplier. An empty test calendar will not show how conflicting events are handled.

Test cancellations and replacement interviewers

  1. Required specialist withdraws: show how the system finds a qualified replacement or leaves the booking unresolved.
  2. Candidate changes time: show which panel, room and meeting-link details are retained or re-evaluated.
  3. Interviewer reaches a limit: distinguish a hard block, an authorised override and a warning.
  4. Old slot is released: confirm what happens to the original invitation and any reserved room.
  5. Nothing fits: show the coordinator’s exception queue and a usable candidate response, rather than an unexplained dead end.

Run this with fictional participants in a supplier-approved demonstration. We have not tested these products hands-on. Ask for the intended behaviour and evidence; do not infer it from the presence of a reschedule button.

Buy when coordination is the problem you can measure

Compare a specialist scheduler when coordinators spend substantial time arranging panels and handling changes. Keep the existing ATS scheduler if it already handles your interviews reliably.

Separate coordinator time saved from new interview capacity. The first is an operational benefit to measure; the second requires suitable people, availability and an interviewing design that uses them effectively.

Before signing, name who maintains interviewer eligibility, template rules and override permissions. Those are recurring operating tasks. Review the eligibility list when interviewers change roles or leave.

Questions buyers ask

Does interview scheduling software increase hiring capacity?

It can reduce coordination work and help use available slots. It cannot by itself create qualified interviewer capacity. Count the scarcest required role before treating faster scheduling as more interviews.

Are interviewer limits always hard blocks?

No. GoodTime documents a candidate-facing restriction in Request Availability but a warning with an override in Schedule Now. Test the exact workflow your team will use.

What should an interview scheduling demo prove?

Correct role coverage, calendar rules, limit handling and rescheduling recovery. Include a specialist withdrawal and a no-availability case rather than testing only a clean initial booking.
