For a 300-person UK employer, start with Culture Amp for regular staff surveys and follow-ups. Compare Lattice if your managers already use its tools.

Move Hive first when reaching frontline staff is the main difficulty: it offers SMS invitations and rollout support. Before choosing, check what managers can see about small teams.

For two annual surveys and short follow-ups

This brief assumes 300 UK employees, 25 managers included in that total, an existing HRIS and a mixed office/frontline workforce. The purchase is two substantial surveys a year plus short follow-ups, with named people responsible for acting on the results. It is not a replacement HR system, a recognition marketplace or an employee case-management channel.

We would shortlist two products, then use the tests below to change the order. These recommendations use published documentation; we have not tested the products. An incumbent that already meets the reporting and action requirements may beat every new purchase.

Write down what employees will be told: which answers and comments managers can see, what administrators can export, and how small groups are handled. Culture Amp explains that its confidential surveys can use individual participation links and employee demographics. Do not rewrite that as a promise that no connection ever exists. A removed name and a non-identifiable answer are different things.

1. Culture Amp: scheduled surveys with implementation support

Culture Amp sells Engage separately and prices annually by workforce, product and service tier. Its published 200–999 tier adds one-to-one Customer Success and implementation project management. For this 300-person employer, ask which work that team will actually complete and what People Science consulting costs separately. Do not assume a specialist will design the whole programme for the licence fee.

The confidentiality guide distinguishes Basic from Strong protection. Basic adds suppression when a group contains one respondent; Strong also protects groups below the chosen reporting minimum by hiding another group. With a minimum of five, a four-person group is not the same configuration case as a one-person group.

Comment visibility counts survey respondents, not comment authors. Those settings are locked once the survey launches.

Our verdict: first call when HR wants a defined annual programme and can decide its reporting rules before launch. We would use the twelve-person example below to agree the configuration, then retain the respondent welcome screen with the acceptance evidence. Reject a demo that calls both settings “anonymous” and moves on.

2. Lattice: surveys for teams already using Lattice

Lattice lists Engagement at US$4 per seat per month, billed annually, with a US$4,000 minimum annual agreement. At 300 seats, the published rate illustrates US$14,400 a year before tax or any separately agreed services. Lattice states that it bills only in USD. A UK buyer needs an exchange-rate budget; the dollar figure is not a sterling quote.

Anonymous Engagement surveys can optionally allow administrators to export individual responses and comments. Names and emails are hidden, but manager or department fields may remain; the welcome notice changes when this is enabled.

That export is unavailable in Pulse. Onboarding and exit surveys are identifiable, so do not send one blanket anonymity statement across all four formats.

Basic is the default indirect-identification setting; Strong adds suppression of another group. Unlike Culture Amp’s launch lock, Lattice documents changing this protection setting after launch, including closed surveys. Agree who owns that choice. This is separate from its minimum question-response threshold.

Our verdict: consider Lattice for engagement surveys, especially if managers already use its tools. If your promise is aggregate-only employer access, leave individual-response export outside the approved design.

3. Hive: frontline access and implementation support

Hive offers email or SMS invitations, an annual bespoke licence and standard implementation, onboarding and training. Shortlist it if you need SMS invitations for employees who do not use a work computer. Confirm the cost of your SMS volume and any bespoke support; request the annual amount rather than relying on its coffee-per-person comparison.

Hive’s confidentiality guide describes a demographic floor of three people and recommends six. It also supports confidential follow-up through Messenger.

Keep the promise specific to the configured channel: its onboarding/exit FAQ describes an option to reduce confidentiality limits, with a changed notice. A setting suitable for following up one departure is not automatically suitable for an engagement census.

Hive Actions supports editable tasks, owners and deadlines, with a rationale for suggested actions. In the demo, record a request for more staff and assign the decision to the person who can approve that budget.

Our verdict: move Hive to first if frontline participation and supported rollout are the real bottlenecks. Keep it third when HR already has those capabilities.

4. Leapsome: surveys alongside its talent tools

Leapsome increases its anonymity threshold when multiple demographic filters are applied. Test the demographic filters you need, then inspect the exported file separately.

Its threshold guide says display protection is survey- and question-specific, but export consideration is at survey level. The same guide says the threshold cannot change after activation.

Its export instructions list Excel exports for survey views and say applied filters carry through. Together, these are a reason to test a skipped question in the actual exported file, not infer that a hidden dashboard cell must be absent everywhere.

Our verdict: consider it if you already use Leapsome’s talent tools or plan to buy them. Current pricing starts with an HR foundation and adds Talent modules. Obtain the complete UK package, including renewal after any offer; a module-only number can understate the purchase. If you only need surveys, compare the full platform price with a standalone survey tool.

5. Officevibe: pulse surveys and manager conversations

Workleap’s anonymity guide requires three active respondents before team scores appear. The Question report uses a different rule: it uses a three-to-six-month rolling window and applies the threshold to the team for that window, not to each question.

Once that team threshold is met, a question’s distribution can appear even if only one person answered that question. A statement that “every result contains three people” would overpromise.

The manager FAQ describes weekly Pulse surveys by default, with standardised core questions and separate Custom Surveys.

It describes anonymous written feedback in terms of five respondents during a cycle, while the anonymity guide describes five team members, active or inactive. Get this wording reconciled for your intended configuration before writing the invitation.

Our verdict: shortlist for a recurring manager conversation, provided the documented report scope matches the promise you are comfortable making. At 300 employees, current Workleap pricing directs companies above 250 to a custom Enterprise discussion. Do not reuse an old per-user Officevibe price or treat the Standard starting price as this employer’s quote.

6. Peakon: ongoing surveys with dedicated HR analysis

Workday Peakon is positioned for ongoing listening and flexible scheduling over multiple years. The fit improves when HR has someone to maintain the survey design and explain changing cohorts, not just launch the first questionnaire.

Its visibility reference separates segment responses from scores per question, with an aggregation period attached. It also has an overlapping-segment control. Ask to see the same question in a single survey round and in the configured rolling period; do not compare those numbers as though they describe the same population.

Its production API FAQ says Get Answers exports start from feature enablement; historical Survey Answer Export can be a paid request. Raw JSON export requires a custom integration and covers the whole instance rather than a chosen segment. Price and govern that design separately from manager dashboards.

Our verdict: consider Peakon for ongoing surveys with a dedicated HR analyst. For two surveys a year, compare its configuration and reporting workload with simpler options.

7. Qualtrics: configurable employee-research dashboards

Qualtrics separates Basic and Enhanced confidentiality in Employee Experience dashboards. Under Basic, a single-field breakout can show counts for groups whose metrics are hidden.

Enhanced protection relies on fields and hierarchies being marked sensitive; the label alone does not configure them. It also adds rules for overlapping hierarchy results.

Consider Qualtrics if your research or HR analytics team can configure and maintain these dashboards. Record which fields are marked sensitive, why, and who will maintain those settings after setup.

Our verdict: consider Qualtrics when an HR analytics or research team will maintain the dashboards. Employee Experience has its own quote route. The public US$420 monthly/US$5,040 annual Strategic Research offer is a different product scope. It is not evidence that this 300-person engagement programme costs that amount.

Price the same programme

Ask every finalist for:

  • The same programme: 300 employees, including 25 managers and two administrators, with two full surveys and twelve short follow-ups.
  • Required services: employee access channels, HRIS sync, configuration, manager training, support, exports and implementation.
  • Complete costs: first-year and second-year renewal totals, with consulting and internal time shown separately.

Budget staff time as well as the licence:

  • Employees: 300 people completing two ten-minute surveys and twelve two-minute pulses: 220 hours a year.
  • Managers: 25 managers spending two hours after each full survey and half an hour after each monthly pulse: 250 hours a year.
  • HR: an assumed 60 hours a year.

The total is 530 hours. At an illustrative £35 an hour, that is £18,550 of internal capacity, before the licence. These are fictional planning assumptions, not measured vendor effort or a cash saving.

Include the time employees spend answering surveys and managers spend acting on results when choosing how often to run them.

Run the twelve-person demo

Use invented accounts only. Create TEST-N01 to TEST-N08 in North and TEST-S01 to TEST-S04 in South. All twelve submit one survey. Set the reporting minimum to five where the product allows it; record any fixed-rule alternative. This is a fictional demonstration; we have not run it against the products.

Do not copy a configuration name between products and call the privacy requirement satisfied.

For E2, ask the presenter to open the exported file. Leapsome documents a different threshold scope for export; Officevibe documents a team/window rule for its Question report. Those behaviours can be consistent with each product’s documentation and still be wrong for the promise your company intends to make.

For E3, use the synthetic comment “I am the only trainer on the Tuesday late shift.” A reporting threshold cannot remove the identifying detail supplied in the sentence. Demonstrate the chosen review process rather than promising that every free-text comment is impossible to recognise.

Save the configuration, each role’s view, the export columns and the exact employee notice. Mark the result “matches our approved promise”, “requires a different promise” or “does not meet our requirement”. A vendor does not pass because its administrator says the software is working as designed.

Keep survey actions assigned when managers change

Use a fourth fictional case: a team says workload is unmanageable because a vacant role has remained unfilled. The manager can change priorities but cannot approve headcount.

Ask the finalist to create an action with an accountable budget owner, an interim step, a due date and a way to report the decision back to employees. Then transfer the manager and show who owns the unfinished work.

Finance decides on the vacancy by a named date; the team lead reduces a specified service commitment meanwhile; HR reports both the decision and its limits. “Build resilience” is not an adequate response to an unfilled role. A software task marked complete is not evidence that the workload changed.

Choose a platform that keeps each action assigned when managers change. Agree how leadership will respond to findings before scheduling another survey.

Questions buyers ask

Which employee engagement platforms should a 300-person UK company shortlist?

Start with Culture Amp and Lattice for two annual surveys and short follow-ups. Add Hive when frontline access and supported rollout are priorities. Existing platforms, analytics capacity and the exact reporting promise can change the order.

Does a five-person threshold require five comment authors?

Not necessarily. Culture Amp and Lattice describe comment thresholds using the number of survey respondents, not comment authors. Check the exact survey type and configuration before telling employees what managers can see.

Can an export show something a survey dashboard hides?

Dashboards and exported files can apply different rules. Leapsome documents survey-level threshold consideration for exports, and Lattice offers an optional individual-response export for Engagement surveys with a changed participant notice. Inspect the file and approved roles.

Is a higher response threshold always better?

It withholds more small-group information but does not solve every inference or free-text identification risk. Choose a promise that fits the workforce, then test questions, filters, time windows, comments and exports against it.
