Not everything must live in the new system. An agreed, accessible archive can be preferable to forcing old evidence into an unsuitable field. Record which items will stay in the archive, who can retrieve them and how long access will continue.
Start with what the old system actually exports
TalentLMS distinguishes an all-course CSV summary from a detailed individual-course Excel report. Its documentation says the latest completion date is kept for each user and course, with the Timeline used to investigate earlier completions. Certificate downloads are another step.
Our implication: do not accept a course-count spreadsheet as proof that historical training evidence has been captured. Identify the export or archive route for each record type you need, before losing access to the old system.
Make the supplier resolve conflicting scope descriptions
Docebo’s migration page describes broad content and record coverage but says an unfinished learner’s exact position may not survive. Its general migration guide, dated November 2024, lists additional exclusions, including tests and certificates, and documents a user-interface enrollment import that assigns the import date as the completion date.
These descriptions should not be collapsed into a universal statement about current capabilities. Ask the delivery team to reconcile them against your source system, purchased service and proposed import method. Put the answer in the scope of work.
A newer sales page does not identify how your older records will be handled. An older help page may not describe every current professional-services option. The useful answer is a demonstrated result for your sample.
Use this five-record pilot before the bulk move
This is an original fictional test set, not a supplier import template. Agree the expected result before running it in the migration environment.

Inspect the learner view and the report a manager will actually use. A migration log alone cannot show whether a record has landed in a useful place.
Include missing-record repairs and repeat imports in the quote
Request separate scope and charges for extracting history, rebuilding assessments, recreating assignment rules, preserving evidence and handling final changes. Include access to the old system during reconciliation and the work your own team must perform.
Ask what happens when the pilot fails. The quote should identify who fixes source data, who changes mappings and how many migration iterations are included. Include the administrator’s time for any exceptions the supplier will not repair.
Approve the exceptions as well as the successes
- Inventory: list content, records, evidence and operating rules separately.
- Pilot: run the five cases with fictional or appropriately authorised data.
- Reconcile: compare records by stable identifiers, not names alone.
- Resolve: record each item as migrated, rebuilt, archived or deliberately excluded, with an owner.
- Cut over: capture changes since the first export and confirm the final results.
Before signing, agree which records will move, which will remain in an archive and who will repair the exceptions. Use the five-case pilot to confirm the proposed treatment.
Questions buyers ask
Does importing SCORM content preserve learning history?
Do not assume it does. Treat the course package and learner records as separate migration deliverables, then test completion dates, repeat attempts and in-progress behaviour.
Can an LMS migration change completion dates?
Yes, depending on the import method. Docebo’s November 2024 general guide describes a user-interface enrollment import that uses the import date for completed enrollments. Confirm the current method and test a historical record before accepting it.
What should happen to certificates during an LMS migration?
Agree whether original documents will migrate, remain in an accessible archive or be replaced by newly generated documents. Verify the chosen route with a sample; these outcomes are not equivalent.
